If you are requiring a view of your day-to-day schedule without always opening your Genie, you can synchronise your Appointments, Tasks and Address book records with Outlook on Windows, or iCal and the Apple Address Book on Mac.
This synchronisation can occur as an export from Genie to your calendar, or a two-way synchronisation from Genie to the calendar and back into Genie.
Before you begin
To set up the synchronisation, you must be logged in as the user that would like their Appointments, Tasks or Address Book synced.
If you are a Windows user, you will also need to manually create a category in Outlook called ‘GenieSync’. This can be done by following these steps:
- Open the Outlook app on your computer and click the Categorise icon in the top toolbar
- Click the All Categories option from the drop down menu that appears
- You will be presented with this window:
- To create the GenieSync category, click the New button on the right
- Enter the name as GenieSync and select a colour from the drop down
- Click OK to add this to your category list
Mac users do not need to create a category as Genie will automatically create one when you synchronise the Appointment Book. If you are using OSX 10.8 or higher, your appointments will synchronise with the Calendar, your tasks will synchronise with the Reminders and the Address Book will synchronise with the Contact application.
For appointments to be synchronised, they must either be a patient appointment or a non-patient appointment where the name is not equal to an appointment type. Therefore, a group of appointments which you have blocked off using the Appointment Type drop-down menu will not be synchronised.
To set up the synchronisation:
- Go to File > User Preferences.
- Click on the Clinical tab.
- Select the relevant option to sync either one or both ways.
To synchronise your appointments:
- For Windows users, go to Appts > Sync with Outlook
- For Mac, go to Appts > Sync with iCal.
- In the Synchronise window that appears, tick the Appointments option.
- Specify the date range of appointments to sync.
- Specify if you would like to only show appointments with a procedure.
- Click Synchronise.
For tasks to be included in the synchronisation, you will need to tick the Sync with Outlook or Sync with iCal checkbox in the Edit Task window at the time of creation.
To synchronise your tasks:
- For Windows, go to Appt > Sync with Outlook.
- For Mac, go to Appts > Sync with iCal.
- In the Synchronise window tick the Tasks option.
- Click Synchronise .
Your tasks will now appear in Outlook or iCal.
Note: You must not use return characters in the notes field of a To Do/Task in iCal as this will result in the creation of an extra blank task.
The synchronisation of Address Book records occurs only in one direction; from Genie to Outlook or the Apple Address Book. This means any records added into Outlook or the Apple Address Book will not be copied back into Genie. Not all the fields used in Genie will be copied to Outlook or the Apple Address Book either.
To synchronise your Appointment Book records:
- Go to File > User Preferences
- Click on the Clinical tab and tick the Synchronise the Address Book checkbox.
- You also have the option to tick the Only synchronise those with an email address checkbox if this is what you require.
The next time you add a new Address Book record or open an existing record, this will be added to your Outlook or Apple Address Book list.
