When does this error appear?
This error will appear when attempting to transmit a claim to Medicare.
What does this error mean?
Medicare has tightened the restrictions on what you are allowed to transmit through Medicare Web Services. You are trying to transmit a character in your service text that Medicare does not allow. This can either be text you have manually entered in the Note / Service Text field, or a field that is being pulled from elsewhere (e.g. Site of Service).
Medicare will only accept alphabetical (uppercase A - Z and lowercase a - z), numerical (0 - 9), spaces (but not at the end), and the following special characters: @ # $ % + = : ; , . -. This means no brackets, apostrophes or slashes.
How do I resolve this error?
Read the error message carefully, as it will usually indicate what invalid character is causing the transmission to fail. You will then need to either fix the service text or the site of service before attempting to transmit the claim again.
Fix the Note / Service Text
- Click OK out of the error message, then double-click on the item (either in the New Transmission window or the patient's Account History).
If the error message has an option to Edit Sale, you can alternatively click on this. - Within the Sales window, click Edit at the bottom (and Edit again if prompted).
Remove any abnormal characters from the Notes field on the right. If you are unsure what character is causing the issue, check the error message which states all allowable characters.
- Click Save.
- Try and transmit the claim again.
Fix the Practice Site / Site of Service
- In the error that appears, click the OK button.
- Navigate to File > All User Preferences and double-click the provider the invoice was raised for. Click into the Practice Sites tab.
- Double-click the Site of Service referenced in the error and remove any invalid characters from the relevant 'Place' field.
In the above example, the site of service has an apostrophe (') which is no longer transmissible with Medicare Web Services validation. - Click OK and Save out of the User Preferences.
- Try and transmit the claim again.
