Ready for Medicare Web Services? – Genie

Do you have any expiring certificates that need to be renewed prior to upgrading to Genie v9.4.6 or above?

You most likely are receiving an alert upon logging into Genie that you have certificates that are expiring soon. Depending on the type of certificate that is expiring, you may not need to do anything. Please check our article on expiring certificates to determine which certificates require action from you.

If you have dealt with the relevant expiring certificates but are still receiving the alert when logging in about expiring certificates, you can disable this alert through File > User Preferences > General and un-ticking the "Check for Expiring PKI Certificates" checkbox in the bottom-right.

If you have followed our expiring certificates guide and all your certificates are up-to-date, you are one step closer to upgrading and can move to the next question.

If you are not sure that you have any certificates that are expiring, you can check this by navigating to File > Maintenance and Reports > Administrator and clicking the HIC Online PSI Store option. Double-click on your GEN number in this list, then click the Certificate Details button.

Any expiring certificates will appear in yellow, and any certificates that have already expired will be highlighted in pink. If you do have expiring / expired certificates, please follow this guide to determine which ones need to be renewed prior to upgrading your Genie software.

Do you have any outstanding claims in Medicare or IMC Claims Control that are older than 6 months?

When you upgrade, you will be unable to retrieve reports for any claims that are more than 6 months old. While you should always be keeping on top of your Medicare and ECLIPSE claims, it is imperative that any old claims are actioned before upgrading, otherwise you will be unable to do so on Genie v9.4.6 or above.

If you do not have any old Medicare or ECLIPSE claims that have not been actioned, you can safely upgrade your Genie software to the latest version.

Do you usually store patient claims and / or IMC invoices and send them at a later time?

Batched patient claims

Medicare will no longer be accepting batched patient claims. This will not affect batched bulk bill and DVA claims. You will still be able to hold patient claims until a later time, however, these will now need to be transmitted individually instead of in a bulk batch.

If you have any batched patient claims you must transmit these before upgrading to Genie v9.4.6 or above, otherwise these batched claims will need to be recreated in each individual's account history.

Stored IMC claims

Due to the new way Medicare Web Services handles claims, you must transmit any previously stored IMC claims before updating to Genie v9.4.6 or above.

If you do not batch patient claims or store IMC claims for later transmission, you can safely upgrade your Genie software to the latest version.

Have you performed an Online Patient Verification after upgrading to Genie version 9.4.6 or above?

If you have updated to Genie v9.4.7 and performed an Online Patient Verification (OPV), congratulations - you are connected to Medicare Web Services and can continue claiming as normal!

To connect your practice with Medicare Web Services, you will need to perform an Online Patient Verification (OPV) after upgrading your Genie software to 9.4.7.

If you do not perform an OPV before using any Medicare Online functionality, you will not be connected properly and will be unable to claim online.

The first user to log in after upgrading (and every subsequent user if an OPV is not performed by the first user) will receive a prompt to complete an OPV by searching their patient list. You can also navigate to File > Activate Medicare Web Services after logging in.

Once you have completed this you will be able to claim as normal, however, instead of connecting via the HIC Online adapter on your machine, you will be connecting via Medicare Web Services.
