Genie has the ability to send letters in CDA (Clinical Document Architecture) format, which is a standardised clinical format designed for readability and flexibility. The option for sending in CDA format only becomes available when certain conditions have been met in Genie, so read ahead to find out how to get started.
Before you begin
E-health functionality is required to send letters in CDA format, so it is important that you have registered for these credentials, and configured your PSI Store prior to attempting to send CDA letters. For more information on this, please review the Configuring My Health Record article.
To check whether your letter meets these conditions, click on the CDA Dx button.
When your CDA Diagnosis is returned, any issues will be highlighted in red. In the example below, the recipient does not have an HPI-O number recorded in their Address Book record and they have not been identified as being able to import CDA.
You can rectify this, and any other recipient related issues, by clicking on the Surgeon button to open the recipient's Address Book record.
In here, query the HPI-O number by pressing the Surgeons button.
Genie will now contact the Medicare server to locate an HPI-O number that matches the clinic name.
If there is a match on the Medicare servers, Genie will enter this information into the HPI-O field.
If there is no match, Genie will display 'No records have been found' in red text.
In this situation, you would need to contact the practice and verify their HPI-O number. You can then simply enter this into the HPI-O field manually.
Once you have the correct HPI-O number entered in here, you tick the preference Can Receive CDA Format at the bottom of the window.
Now press Save.
When you are returned to the letter window, you can click on the CDA Dx button again to verify that you have successfully met each of the conditions.
The window below indicates that you have met every condition except Send via Third Party is ticked and Ready to Send is ticked.
This is the desired outcome as it means you can tick these preferences whenever you are ready to send your CDA document.
Before sending the letter, select the appropriate letter type by using the radio buttons in the top left corner of the screen.
This determines the content of the letter.
When you are ready to send, simply tick these preferences.
You should now find that the Save button in the top right corner of the window has changed to a Send as CDA button.
You will now be presented with the inclusions window for your chosen letter format.
If you have chosen Specialist Letter...
When you select Specialist Letter, you will be presented with another window that will allow you to add some additional information and/or attachments to this file.
These sections are linked from the patient's Clinical Window. You are able to add any of these to the CDA letter by simply ticking the checkbox next to them.
Note: You will notice that any pathology and radiology results will come up twice, once on each list. Once you tick one of these on one side, it will disappear from view on the other side.
You can add any files (such as pictures or scans) to this CDA letter by clicking on the Select File... button.
Once you have selected your inclusions, press the OK button to view your Specialist CDA Letter.
The formatting of a specialist letter will look similar to the letter below.
The following sections will be included in this letter:
- Response details - content of your original letter, diagnoses, procedures, attachments.
- Recommendations - recommendations added in the inclusions window, where applicable.
- Medications - current medications for the patient.
- Adverse reactions - allergic reactions selected in the the inclusions window, where applicable.
- Diagnostic investigations - pathology and radiology investigations selected in the inclusions window, where applicable.
- Administrative observations - details from the patient's Patient Demographics window. This includes entitlements, address details, referring doctor details etc.
- Primary recipients - details of the primary recipient of this letter.
If you are happy with the letter, press the Send button at the bottom of this window. Otherwise, you are able to press the red cross button in the top right, which will return you to the previous window.
If you have chosen Referral Letter...
Referral letters are less complicated than specialist letters. When you select Referral Letter, you will be presented with a smaller window that allows you to add additional information and/or attachments to this file.
Once you have selected your inclusions, press the OK button to view your CDA letter.
The formatting of a specialist letter will look similar to the letter below.
The following sections will be included in this letter:
- Referral details - referral date and duration, content of your original letter, attachments.
- Medical history - diagnoses from the Clinical Window.
- Medications - current medications for the patient.
- Adverse reactions - allergic reactions from the Clinical Window.
- Diagnostic investigations - pathology and radiology investigations selected in the inclusions window, where applicable.
- Administrative observations - details from the patient's Patient Demographics window. This includes entitlements, address details, referring doctor details etc.
- Primary recipients - details of the primary recipient of this letter.
If you are happy with the letter, press the Send button at the bottom of this window. Otherwise, you are able to press the red cross button in the top right, which will return you to the previous window.
Once you have sent the CDA letter, you will be able to view it in the Clinical Window.
From here, you are able to view the CDA again by double-clicking on the letter and pressing the View CDA button.
