The below article briefly answers the most frequently asked questions our Support Team receives regarding Communication in Genie.
Before you begin
For general enquiries about the communication options in Genie, please refer to the Communication section of our Knowledgebase.
If you can't find an answer to your question below or on the Knowledgebase, please contact Genie Support who would be happy to assist.
Once you have already sent your standard SMS messages automatically, it's not possible to send another set of messages to these patients automatically. You can, however, still send the message manually. For more information, please see SMS Reminders.
If you'd like to make changes to your SMS templates, simply head to Appts> SMS Reminders.
Select the Setup button in the bottom right corner of the window and you will be presented with the following screen:
Right click on the record in the Template column and select Edit Template. Choose the Template you wish to edit and you will receive the below window:
Make the appropriate changes as necessary and then choose OK.

In Genie versions 8 and above, each letter has it's own unique ID number which prevents them from being resent. For this reason, you will need to recreate the letter and send again.
If you've included one of the following references in your letter, you may find that it's pulling in the wrong record:
- Account Holder
- Employer Insurer Details
- Next Appointment
- Referring Dr
- Usual GP
- Workcover Claim
- Workcover Certificate
To point Genie to the right record, you can use the Load options in the Expressions tab. Simply double click the appropriate option (e.g. to choose a different appointment, select Load Appointment).
You will then be prompted with a list of records to choose from.
Highlight the appropriate record and click Select. Genie will then input this information.
If the Unsent Letters button is appearing in your navigation palette, it means that there are letters in the 3rd Party Unsent area of your Outgoing Letters window. When Genie has not been able to export these letters for sending, they will stay in this area, and the Unsent Letters button will appear.
There are multiple potential causes for letters getting stuck in the 3rd Party Unsent area. For information on these problems and how to resolve them, take a look at our Troubleshooting Unsent Letters article.
If you have a reference entered into your letter but need to make a quick change to the text it's pulling through, you can simply select the Make Text option in the top right corner. This will turn all of your references in this letter to text and you can correct them as normal.
It is not possible to readdress a letter once you have saved a referral reply letter. You would need to cancel the letter and start again.
If you have not yet saved your Referral Reply letter, you can choose the Readdress option and search for a new recipient.
If you are using Open> Import Transcribed Letters to import letters created by your typist, you can change the Addressee at the Import screen. Simply double click in the Addressee column for the letter and you will be presented with the Address Book search window. Search for your new recipient and select OK. Once you import the letter, whoever is listed in the Addressee column is who Genie will make the Addressee in the letter.
This image might have originally been inserted into the letter as "Insert Picture in Page" and then "Behind Text".
This will cause the image to sit on the background layer of the letter and can stop you from easily clicking to edit.
To make changes to the image, hold down Command (Mac) or Control (Windows) on your keyboard and then click on the image. This should select it and allow you to delete, move or resize.
To resize an image without having it stretch or distort, click on your image to select, hold down Shift on your keyboard and then click and drag to adjust the size.
If you have included a date field in your letter such as Appointment Start Date or Today's Date, you can update the format simply by double clicking on the reference.
You will be presented with the following window:
Scroll through the Format table until you locate the following options:
You can then simply select the new format you wish to use and select OK. Your date format will be updated in your letter for this reference.
