If you are tired of having to manually check valid referrals for upcoming appointments, or whether appointments have had a consult or invoice created for them, then this article is for you. Genie has made your life easier by automating this process with the click of a button.
Before you begin
These processes are great to perform on a regular basis. You may wish to decide on a date range to regularly search on for all providers so that you can ensure your upcoming appointments have referrals, and that you're not missing any consults or billing.
To check for any future appointments that will not have a valid referral at the date of the appointment, navigate to Appts > Check Forward Referrals. You will be presented with a prompt asking you to select a date range to search for future appointments (this will be set to two weeks by default). Once you have set a date range and you can choose to search for all providers or a specific provider. Click OK and you will be presented with a list of all the appointments which will not have a valid referral.
Double-clicking on an appointment in this list will take you to that day in the Appointment Book, where you can review the patient demographics if you need to update the referral information.
Clicking the Delete ALL Future Appts button will delete all the future appointments that are listed in this window. You will receive an additional prompt after clicking this asking if you are sure would like to proceed with the deletion. Any deleted appointments can be restored by going to Appts > Deleted Appointments.
The Show in Patient List button will show a list of all the patients who have an appointment showing in this window, which will allow you to check the demographics one at a time instead of navigating to each appointment by double-clicking.
If you would like to print the list off, clicking the Print button will give you the option to print a list of appointments by type.
Note: If you have instances where patients have two or more referrals, and one of these is expired but the others are still active, the appointment attached to the expired referral will not appear on this report as Genie will only check for one active referral in the patient's demographics. This is also the case if the active referral is addressed to a different provider in the patient demographics.
Check Missing Invoices and Consults
Check Missing Invoices and Check Missing Consults both work in a similar way.
When navigating to Appts > Check Missing Invoices, you will receive the following prompt advising you that only patients who have not been billed an item number with the same service date as their appointment will be shown:
When navigating to Appts > Check Missing Consults, you will receive this prompt instead advising only patients who have not had a consultation record added matching the date of their appointment will be shown:
Although this message references a consultation record, this will also search for any patients who do not have an antenatal visit recorded in their Current Pregnancy record with a date that matches the date of their appointment if applicable.
After clicking OK to either of these prompts, you will be asked to enter a date range to search for appointments once again. Once you have made your selections, you will be presented with the same list as seen in the Check Forward Referrals window.
Note: If you have instances where a patient is required to see two separate providers on the same day, and the patient has been billed and had a consultation created for one appointment but not the other, the other appointment will not appear on this list.
