If you’ve ever spent hours chasing up diagnostic reports with various laboratories, you'll know that the process can be laborious and time consuming. Gone are the days of having reports faxed over or relying on the patient to remember them at their appointments! The future is here with all of your diagnostic reports being accessible in one easy to use screen.
Before you begin
Before you're able to review and link your requested reports into your patients' records, you'll need to make sure these are importing into Genie. If you're experiencing issues with results coming in automatically, or you're looking at setting up electronic reports for the first time, you may want to start by reading our Importing Diagnostic Reports article.
The Pathology and Radiology window
The Pathology and Radiology window is where you will find all results that have been imported into Genie. You can get here by navigating to Open > Pathology and Radiology. As soon as you open the Pathology and Radiology window, you'll see all results that have been imported into Genie but are yet to be reviewed and linked to the relevant patient - i.e. 'Unlinked' results.
At the top of the window, you'll notice three separate drop-down menus: Doctor, Linked?, and Result. Adjusting these drop-downs allows you to soret through your results.
Doctor | The Doctor drop down menu shows a list of all providers who currently have results waiting to be linked. Selecting a provider from this list will show the unlinked results for that provider. If you've already reviewed all of your results, or you're yet to have any results imported, your name won't be in this list. |
Linked | The Linked? drop down menu will allow you to see only results that have either been Linked, that are still Unlinked, or All results. |
Result | The Result drop down menu allows you to quickly shift between displaying Normal, Abnormal or All results. |
There is also a Hide Results on Hold checkbox available within this window. This is used to hide any results that have been put on hold. This would usually be used in an instance where you may receive results ordered as a copy from a referring Doctor. The results may arrive well before the patient does, so the results can be put on hold until the patient arrives for their appointment .

Magnifying Glass/Find | Allows you to search the entire results list by Surname, First name or Test. It's important to note this is the name of the patient within the result file, not the name of the patient the result has been linked to. |

Import | Opens the Import window and display the contents of the LabRslts folder on this computer. You can also use this window to retrieve any results waiting to be imported on your Server computer. |
Checking for Results to Review
When results are imported, Genie will use the information contained within the result to try and find the correct provider within your system to make the Addressee for the result. In order to do this, Genie will take the Provider number within the result and attempt to match this to a provider number entered under any of the providers within Genie.
If a result is imported into Genie, and matched to your user account, you'll be presented with a Results to Review tab within your navigation palette. Clicking on this tab will take you straight to the Pathology and Radiology window.
Sometimes you might find your reports have come into Genie showing the incorrect Addressee listed. This will only ever happen if you're provider number has ended up incorrectly entered under another user account in Genie. For example, if Dr A Demo is receiving results that should have been addressed to Dr J Smith, the most likely explanation is that one of Dr J Smith's provider numbers is recorded in the Dr A Demo's User Preferences.
To change the addressee on a specific result file, open the Pathology and Radiology window (Open > Pathology and Radiology), double-click on the relevant result and then select the Redirect icon. Select the correct recipient from the list of available providers in the Choose doctor… window.
To stop this from continuing to happen, navigate to File > All User Preferences and then double-click on the provider who the result was erroneously addressed to. Click into the Practice Sites tab and remove any instance of your provider number from here. This should now stop Genie from thinking this is the user who your reports should be addressed to.
To review any result within the pathology and radiology window, simply double click on the result. Upon opening the result, you'll be able to take a number of actions, depending on what is required.
At the top of each result, you'll find a series of icons you can use to help action the result appropriately. You can find an overview of each icon below.

You can use this option to make Genie check if the information in this result matches any existing patient record in Genie. This check should be performed automatically when opening the result, but you may need to do this manually from time to time. |

You can use this button if you need to search for the correct patient this result belongs to. You may need to do this if Genie was unable to automatically match the result to a patient, or found the incorrect patient. |

You can use this button to match the result to the last patient record you linked the previous result to. You may need to use this function if you've had had to use the Find icon to search for a patient, and this patient has subsequent results that also need to be reviewed and linked. |

You can use this button to populate any INR details from a report into a patients INR Control window. Once you've added the INR details into your patient's record, these can be reviewed within the patient's clinical window by navigating to Tools > INR Control. |

The Make Letter button allows you to convert the result into a letter. Once you click this button and then click the Link button, a window will appear asking if you would like to convert this result to an Incoming Correspondence record for this patient.
Clicking Yes will link this result in the patient clinical record as an incoming letter. Clicking No, Leave as Result will leave it as a result and link it in the patients clinical record as a result.
When a result is imported, Genie will try to match this to any current patients within your system. Genie looks at patient's surname and first three letters of their first name from the result and tries to match this to the same information within Genie. When you open a result file, you can see whether Genie has matched the result to a patient by looking in the top left-hand corner.
If Genie can't quite find the relevant patient using just the name, or finds multiple patients with the same name, it will continue to search using the Date of Birth and Medicare Card number found within the result. If a patient with the same information in Genie can be found, the patient will automatically be matched to the result file. If all the information within the result and the patient record in Genie is identical, this will be shown by the green = signs next to Date of Birth and the Medicare number, as per the example below.
If the Date of Birth or Medicare number listed in the result does not quite match the information found within the matched patients record, this will be shown by a red = sign.
If the information in the result is the correct information, for instance the patient has updated their Medicare card but neglected to tell you, you can automatically update this by clicking the information and dragging this across to the Patients record in Genie.
If, after searching on the patient's name, Date of Birth, and Medicare Card number, Genie still locates more than one patient, opening the result file will result in the following prompt:
You will then need to select the relevant patient from the Patient Records drop down list.

Once Genie has matched the result to the relevant patient and you've reviewed this, you can then link the result to their clinical record. To do this simply click the Link button at the top of the result. After clicking Link you'll be presented with the Action List Message window.
From the Action list you can select a specific action that is required for this result, if any, on the left hand side of the window.
If you'd like to expand the list of options, you can do this using the icon. If the required action is specific only to this patient and this result you can simply type your message at the bottom of this window.
Once you've selected or typed the required action you'll need to tick Add to Action List and click Link. The result and the specified action will appear within the Investigations Action List to be dealt with at a later date.
If Genie thinks the result in question is a pap smear result, on opening the Action Message List Genie should confirm whether this is the case with the following prompt.
Clicking Yes to this will automatically tick the This is a Pap smear result within the Action List window, you'll then need to select the appropriate smear result from the drop down list.
If the result is a HPV result, you'll need to tick This is a HPV Result then select the appropriate HPV result from the drop down list.
Selecting either of these options will then also update the Last Pap and Last HPV information within the Main or Summary tab of your patient's clinical window.
If you need to send a Task to anyone at the practice regarding this result, you can do so using the Create Task button. If you need to Recall the patient to discuss the results with them, you can do so using the Create Recall button.
If the result required no further action at all, you can type any relevant information into the message box, untick Add to Action List, then Link the result to the patient using the Link button.
Once a result has been linked to a patient record, it will appear within the patient's Pathology and Radiology area within the patients’ Clinical window . You'll also be able to find any Linked result listed within the pathology and radiology window by changing the Linked? drop-down option to only Linked.
Printing results from the clinical window
If you are running Genie v9.3.5 and above, there are two simple ways to print a patient's results from their clinical file.
If the results contain HTML or PDF content, then you can navigate to File > Print above the results.
If the result contains RTF or plain text data, you will see a Printer icon at the top-right of the result which you can use to print the result/s. For RTF and plain text results you can also right-click on the result in the Contact list and Print from Browser to open this in your default web browser.
